What personal information we collect
We collect the following categories of personal information from you:
- Enquiry information — your name, email address, phone number and any details you provide when you submit a form or call us about a job.
- Booking information — property address, tank type, access notes, preferred dates and any special instructions relevant to carrying out the service.
- Payment information — where deposits or payments are taken, we process them via Stripe; card details are handled by Stripe and never stored on our systems.
- Telephone calls — calls to and from our office lines are recorded, and may be transcribed and summarised, so that we have an accurate record of what was agreed and can train our team. See *Telephone call recording* below.
- Website analytics — anonymous or pseudonymous data about how you use our website, including page views, referrer URLs, marketing click identifiers (gclid, msclkid, fbclid, utm_* parameters), and session cookies. See the Cookies page for full detail.
Telephone call recording
Calls you make to us, and calls we make to you, on our business telephone numbers are recorded. Inbound callers hear a short notice before the call is connected. Recordings may be transcribed and summarised automatically so the person handling your enquiry has the details to hand. We use recordings to keep an accurate record of bookings, quotes and instructions, to resolve any query or complaint about a call, and for training and quality purposes. Our lawful basis is our legitimate interest in running the business accurately and safely; you can ask us not to record a call at the start of it, in which case we will take written notes instead. Recordings are kept with the enquiry or service record they relate to and are subject to the retention periods below; they are stored on our CRM with our cloud providers and are never sold or shared for marketing.
How we use your information
We use your information to:
- respond to your enquiry, provide a quote, and carry out any service you book with us;
- send you appointment confirmations, service reports, invoices and reminders;
- comply with our legal obligations (for example, keeping records under UK waste regulations);
- improve our service and understand which marketing channels bring us the most useful enquiries.
Legal basis for processing
We rely on the following lawful bases under UK GDPR:
- Contract — when we process information to deliver a service you have booked with us.
- Legitimate interests — when we send you follow-up service reminders and analyse aggregate website traffic. You can object to legitimate-interest processing at any time.
- Legal obligation — when we retain records to comply with UK waste regulations, tax law or environmental permit conditions.
- Consent — when we set optional cookies or send you marketing that is not directly related to a service you have booked.
Who we share it with
We share the minimum information necessary with:
- Our field teams and subcontractors so they can carry out the service you booked.
- The Environment Agency and licensed waste facilities where required to complete a waste transfer note and dispose of waste lawfully.
- HMRC and Companies House as required by law.
- Payment processors (Stripe) where you make an online payment.
- Cloud infrastructure providers (Vercel, Supabase, Google Cloud) hosting our website and CRM.
We never sell your personal information.
How long we keep it
- Enquiry records — up to 3 years after your last contact with us, so we can help if you get back in touch about the same property.
- Service and booking records — a minimum of 6 years to comply with UK tax and regulatory obligations.
- Waste transfer notes — a minimum of 2 years as required by UK waste regulations.
- Call recordings and transcripts — kept with the enquiry or service record they relate to, for the same period as that record.
- Website analytics — anonymised or aggregated after 26 months.
Your rights
Under UK GDPR you have the right to:
- request a copy of the personal information we hold about you;
- ask us to correct anything that is inaccurate;
- ask us to delete your information where we have no ongoing lawful reason to keep it;
- object to certain kinds of processing (e.g. direct marketing);
- withdraw consent where we rely on it;
- lodge a complaint with the Information Commissioner's Office (ico.org.uk).
To exercise any of these rights, please contact us at support@lancashireseptics.co.uk or 01616947241.
